Information for Presenters

Request to Session Chairs

Please be seated at the next session chair’s seat at the right of the hall at least 10 minutes before the start of your session.

To speakers of oral presentations

  • Please bring your presentation file (ppt or pptx) saved on a USB memory stick. The file will be uploaded to a PC prepared by the organizing committee (Windows 11, Microsoft 365), and a test run will be conducted. Ensure the USB memory has been checked for viruses. Name the file as presentation number_name.
  • The slide is preferably made in 16:9, but 4:3 can be displayed as smaller size.
  • Morning presenters should upload and test their file before the first session of the day, and afternoon presenters should do so before the first session in the afternoon. Please arrive early to allow sufficient time. Note: The data you submit will be securely deleted by the organizing committee after the discussion session ends.
  • Optional: If you wish to present using your own PC, please perform a test run at the above-mentioned time. If your PC does not have output terminals (HDMI), please bring a conversion adapter.
  • Presentations should primarily be conducted in English.
  • Presenters will operate the keyboard and mouse placed on the podium themselves. A laser pointer will also be available on the podium for use.
  • The presentation schedule is tight. Please adhere strictly to the time to ensure adequate time for questions.

    Young Oral Presentations 10 minutes presentation, 2 minutes Q&A, 1 minute for speaker transition
    General Oral Presentations 15 minutes presentation, 4 minutes Q&A, 1 minute for speaker transition
  • The passage of time will be indicated by a bell at the following times:

    Young Oral Presentations 1 bell at 8 minutes, 2 bells at 10 minutes (end of presentation), 3 bells at 12 minutes (end of discussion)
    General Oral Presentations 1 bell at 13 minutes, 2 bells at 15 minutes (end of presentation), 3 bells at 19 minutes (end of discussion)
  • A few presenters from the Young Oral Presentations will be selected for the Young Presentation Award.

To Poster Presenters

  • Posters should be created in English. The size of the poster display board is 180 cm tall × 120 cm wide. Posters should be printed on A0 size paper (118.9 cm height × 84.1 cm width).
  • The poster venue is on the first floor, and posters should be displayed on the following dates: Tuesday, October 29, and Wednesday, October 30.
  • Poster numbers (last three digits) will already be affixed to the poster boards. Please check the display location and affix your poster to the corresponding board. The organizing committee will provide tape for affixing posters.
  • The presentation times are as follows. During the presentation, please wear the designated ribbon. Posters should be presented on both Tuesday, October 29, and Wednesday, October 30.

    P-(odd numbers) October 29, 17:00 – 17:45 October 30, 15:40 – 16:25
    P-(even numbers) October 29, 17:45 – 18:30 October 30, 16:25 – 17:10
    • Note: Please remove your poster before the end of the conference. Posters still displayed after the conference will be collected by the organizing committee.
  • A few presenters under the age of 35 at the time of presentation will be selected for the Poster Award.
